Reporting to: Principal / Fee Earners / Senior Secretaries

Purpose: To provide assistance and support of an administrative nature as may be required.

Principal Accountabilities:

  • Answering calls, recording messages, and dealing with enquiries as appropriate, including from suppliers or prospective clients
  • Typing from both audio and manuscript means;
  • Attending and note taking of fee earner meetings;
  • Day to day file management and filing (electronic and hard copy);
  • Scanning, copying and bundling;
  • Arranging postage and couriers;
  • Undertaking hand deliveries and collections including liaising with the Court in respect of picking up Court orders;
  • Ordering online and organising travel arrangements;
  • Managing fee earner diaries;
  • Bank payments and transfers;
  • Diary management and organising meetings and appointments;
  • Reminding the Principal of important tasks and deadlines;
  • Booking and organising travel and related;
  • Booking and organising events and conferences;
  • Dealing with suppliers including contract negotiations;
  • Control office purchases and supplies;
  • To form part of a cohesive team, fostering a cohesive and supportive culture within the firm; and
  • To deal with all client work promptly and efficiently.

Knowledge, Skills & Experience:

  • The post holder will have some ability to work on his/her initiative although supervision will be given;
  • Be capable of working within a team environment and they must be able to prioritise workload and deliver to deadlines;
  • The ability to pay excellent attention to detail;
  • Good organisation skills; and be able to demonstrate excellent communication skills (verbal and written).
